This notice explains how Clinician 360 handles personal information when clinics use our AI front desk.

Last updated: September 2026

What we collect

When a patient calls a clinic that uses Clinician 360, we process the information shared on the call — typically the caller's name, phone number, reason for visiting, and booking preferences — so we can schedule the appointment in the clinic's EHR. For clinic staff, we collect account details such as name, email, and role.

How it's used

Call and text information is used to answer questions, book appointments (or send the clinic's booking link), pass change and cancellation requests to the clinic — or cancel directly when the clinic has turned that on — and to route clinical questions to the clinic's team. We do not sell personal information, and we do not use patient call content to advertise.

Transcripts, not recordings

Calls are never recorded. We keep a written transcript of each call, along with patients' text messages, names, and phone numbers, for up to 2 years so the clinic can follow up and review conversations.

Where data lives

Our database is in Canada. Some of the AI and phone services we use to handle calls and texts process conversations in the United States. Details are on our security page.

Who can see it

Everyone on a clinic's Clinician 360 team can see all of that clinic's conversations and transcripts — there are no per-role limits yet. Beyond the clinic, access is limited to the Clinician 360 systems and staff required to operate the service.

Your choices

Patients can ask their clinic to access, correct, or delete the information collected on their calls. Clinics can request export or deletion of their data at any time by contacting us.
